When you work with studio in the tasks module it is possible to sign off on those tasks with GPS-Buddy Studio in 2 different ways. It is possible to start and complete the tasks manually by way of the GPS-Buddy Driver app. We also support a way of signing off on these tasks based on position if this app is not available. Both of these statuses are accessible separately in the various task screens. Depending on the way you choose, the tasks are given a colour display in the overview.
Adapting the display:
Go to the ‘Tasks’ screen and click on the ‘Tasks’ tab. The following icon will appear in the top right-hand corner of the screen:
|After clicking on the settings icon, you can indicate which columns you want to have displayed in this screen. Choose to us the ‘Tasks based on driver app’ with the ‘Task Status’ option (image 1).
If you use the ‘Sign off tasks based on position’, you can click on the ‘Positioning status’ option (image 2).
If the Packaging/Assets module is not required, you can hide these fields so that the screen is as overseeable as possible.

Next to this, also The ‘Tasks Time Schedule’ tab must be accessed in the settings. This can be done by clicking on the icon in the top right-hand corner and selecting one of the 2 functions.
Make a selection out of the following options:
‘Show task status’ > If signing off based on the Driver App must take place
‘Show positioning status’ > If signing off must take place as based on position

To ensure that the drivers’ tachograph data is properly displayed and the drivers’ names are shown in the reports and screens in studio, it is necessary to enter the drivers’ names in the system with the drivers’ card numbers.
In case the column is not visible as shown in the above image you can make it visible by pressing on the wrench in the top right-hand corner. In the next screen you can engage the ‘Driver’ screen to make this column visible.
The ID’s that are represented here in numbers should be linked to the users. Go to ‘Settings’ > ‘Security’ > ‘Users’ for this. Search for the user/driver in question and enter the driver card number and make sure that the ‘Driver’ option has been checked off.
Our systems are equipped with GPRS and GSM antennas. With the GPS antenna, the system can determine exactly where the vehicle is located. This position is passed on once every minute to our central database. This is possible because our system is equipped with a GSM antenna which makes contact with our central database. This processes the data that has been sent through the system and makes it visible and specific for you.
If you have a defective or not registered GPS-Buddy system, there are a number of actions you can take to put the system in question online again.
Unobstructed GSM/GPS reception
Our systems require a GSM/GPS reception in order to send the data of the vehicle to our database. If the vehicle is parked indoors or is located in a neighbourhood where much GSM/GPS interference occurs, this may impede the proper functioning of the GSM/GPS signal. Try to park the vehicle in a place where there is good GSM/GPS reception.
It is possible to hard reset your GPS-Buddy system yourselfs. To achieve this, you must remove the negative terminal from the battery of the vehicle for a short time. The system will start up again when you reconnect this negative terminal.
Adding to GPS-Buddy Studio at/before distribution
In case the keys need to be added via the studio application, you can do so in the following menu item ‘Settings’ > ‘Security’ > ‘Users’.
Once the screen with the overview of users is displayed, you can click on the ‘Add’ button in the top right-hand corner.
In the next screen, the driver’s data can be entered.
In the screen print shown above, you can see which minimal data must be entered. An important option is to check off the ‘Driver’ box so that this name will also actually be linked to a route.
Adding to GPS-Buddy Studio with keys distributed earlier
If the keys are no longer available to carry out the above, and the keys are already being used, it is possible to make the used keys in studio visible so that these can still be entered. To do so, you must go to the card screen and click on the option button (image of wrench) in the top right-hand corner. In the settings screen, you will need to set the ‘Driver’ option on in order to ensure that the ID Button becomes visible on the card screen.
Enter the value that is defined with the driver just as it was defined earlier.
Adding to the GPS-Buddy web application with/before distribution
Go to ‘Settings’ and then select the ‘Users’ option.
When the screen with users is displayed you can then select the ‘add’ button in the top right-hand corner.
After clicking on the ‘add’ button, you will be shown a pop-up in which the driver’s data must be entered. In the following screen print you can see what minimal data must be entered. Here, it concerns the first and last name of the driver. It is also important to enter the ID. You can find this with the ID Button.
Please be sure to also turn on the option for driver so that this will also be linked to the rides made. As soon as the ID Button is turned on in one of the vehicles, the name will be shown as it was entered in the system and the rides will be linked to the driver in question.
Adding to the GPS-Buddy web application with keys distributed earlier
In principle, this can be done in the way as described earlier except the code of the key cannot be read because it is already in use. When a driver offers his ID Button, the system cannot link a name to this yet and it will show the code of the key in the web application.
This code must be stated in the same menu as in the previous step by entering the code or copying it from this screen. Please take into account that rides cannot be linked after the fact. That is why it is wise to use the method described above for linking ID Buttons.
You can make a route visible at the map in the GPS-Buddy Studio software by clicking on the ‘Routes’ button in the map screen, when you then select a vehicle, a route will be graphically displayed.
By adapting the date selection, you can have a date in the past shown or select a longer period of time.
In the GPS-Buddy web application you can make a vehicle’s route visible on the map by pressing on the ‘Routes’ button in the maps screen. This will show the selected vehicle’s route on the map.
By adapting the date, you can show a day in the past or a longer period of time.
In order to remove or adapt an automatic report you login to the GPS-Buddy web application and click on ‘Reports’. The button ‘Plan report’ will appear in the top right-hand corner of the screen.
Then click on the report you wish to adapt and make a selection out of the following options:
New: To create a new report
Edit: To edit a report to change, for example, to another driver/user
Delete: To delete an automatic report

When you want to link a driver to a vehicle in the Studio software, you go to the “Vehicle & Driver” menu item and then into the Drivers’ histories.
On the the right side of the screen you will find the drivers’ histories. At the top right-hand corner, click on “Add” and select the driver, vehicle and activity of choice in the pull-down menu.
If you then click on “OK” at the bottom left-hand corner, you will confirm your choice and the selected driver will be linked to the vehicle in question.
When you want to link a driver to a vehicle in the web application you go to the Settings menu item and then to the Drivers’ histories.
Open the drivers’ histories by double clicking on the vehicle in question. Then click on “Add” in the upper right-hand corner and select the driver of choice in the pull-down menu.
After selecting the driver, click on Save to confirm your choice and close the drivers’ histories by clicking on “Close” in the bottom left-hand corner.
The selected driver has now been linked to the vehicle in question.
In order to change the name of a vehicle in the Studio software, go to the “Vehicle & Driver” menu and then to “Vehicles”.
Find the vehicle you wish to change.
Double click on the desired vehicle in “Edit vehicle” and change the name in the “Vehicle” field.
Lastly, click on “Implement” to save your changes.
To change the name of a vehicle in the web application go to the “Settings” menu and then to “Vehicles”.
Find the vehicle you wish to change.
Double click on the desired vehicle to see the Vehicle details and change the name in the “Vehicle” field.
Lastly, click on “Save” to store your changes.
When the mileages vary, you can enter a new mileage (gauge).
Select “Vehicle & Driver” in the upper menu bar and then select “Periods”.
Select the licence plate number in the column on the left where you wish to enter the mileage gauge.
Click on the “Add” button at the upper right-hand corner of the screen.
Enter the values in the “Kilometre counter” and “Date/Time” and then press save.
Once these values have been saved, they will be visible on the right-hand side of the screen. Select this line and press on the “Process period data” button to set the gauge and calculate a correction factor. After the “Process period data” has been pressed, the “Processed” column will also be set to “True”.
When the mileages vary, you can enter a new mileage (gauge).
Press on “Settings” and select “Vehicles” in the menu.
Open the vehicle in question by double clicking on it.
Enter the mileage in the “Kilometre counter”. This has been set at 123456 in the example above. This value must be entered without commas or periods.
Do not forget to enter the correct date in relation to the correct time.
After entering the above information, press on the “Add” button and the entered value will be moved to the bottom section.
Then click on the “Process Periods” button to calculate the correction factor and further implement the gauge.
Then click on “Save” to store the gauge.
Select the period to which you wish to add a ride to in the “Rides” screen;
Click once on the current ride so that it turns orange and click on “Add rides” at the top of the screen. Complete the fields for the ride and the distance in meters.
Then click on “Save” and the ride has been added.
You can contact the person within your administration who has the admin role for this application to receive a new password.
If you do not know who this person is within your organisation or your organisation works with the previous version of the application?
No problem. Please send a support request to email@example.com or call our support department (+31 0900-477 2833); they will send a new password to the e-mail address you have supplied us. Be sure to keep your user name at hand!
You can change your own password in the menu.
When you click here, you will be shown the change password screen:
Enter your new password twice here and press save to confirm. Your new password will then go directly into effect.
Every person within your organisation who has an admin role for this application can change the password.
When the locations of the vehicles are incorrect in your GPS-Buddy Studio version 1.x, it is best to restart the SYNC Service Manager.
You can do this as follows:
1. Open the SyncServiceManager.exe
2. Click on the blue plug
3. Wait until the plug is out of the socket and click on the blue plug again.
Check your user name and password, and please remember that these are case-sensitive. Delete your history and cookies. You can take the following steps to solve your login problem.
- Click on the Security button and click on delete Browser history. Check off which information you wish to delete for each category.
- Check off the Information box of the favourite websites you wish to keep and whether you want the cookies and files for websites in your list to be deleted.
- Click on Delete. If your browsing history contains many files, this may take some time.
In case the system has no GSM receipt, it will look as if nothing has been registered. The system cannot send its information to the central database but it does store all the positions. As soon as the GSM makes contact again, it will send its positions through to the central database. During the process of retrieving the stored data, you will not be able to see the position of your vehicle. As soon as the system has been fully updated and all the stored information has been retrieved, you will be able to see the actual positions again.
